Below is our step-by-step process, and at every juncture we coordinate smoothly with your personnel, general contractors, and architects to ensure productive integration driven by process!

MEMdata uses a 7-step process:

    STEP 1: Existing Inventory Assessment
    A MEMdata representative will conduct an onsite audit of your existing technology and develop a master equipment inventory listing. Your current major medical assets will be fair-market valuated and compared to replacement costs. Digital photographs are taken of all major assets and a Master Equipment Inventory Listing is published in hardcopy and electronic format.

    STEP 2: Needs vs. Wants Assessment
    Detailed interviews will be held with all affected clinical personnel to determine preferences regarding equipment retention, replacements, or supplemental purchases. Needs & Wants are captured in detail and documented in hardcopy and electronic format.

    STEP 3: Preliminary Equipment Needs / Budget Development
    Using the information obtained from the Needs vs. Wants phase, a comprehensive line item assessment is published, by department, for administrative review. In summary, the client is asked to make preliminary decisions regarding what will be utilized from the existing inventory, as opposed to what will be purchased new and placed into service. Using MEMdata’s comprehensive equipment pricing database, all new equipment items are valuated and the preliminary equipment budget begins to take shape.

    STEP 4: Life Cycle Cost Analysis
    MEMdata prepares a Life Cycle Cost Analysis on all major revenue producing assets, such as imaging. Maintenance cost, supplies and consumables expense, purchase cost, financing, and procedural volume / revenue are calculated to determine if the purchase of a major asset is fiscally sound strategy for the client. The resulting documentation is presented in hardcopy and electronic format for administrative review and decision by the client.

    STEP 5: Final Equipment Budget
    Armed with Life Cycle Cost Analysis, a Master Equipment Inventory Listing and other data, the client selects what will be purchased versus what will be carried forward from existing inventory. MEMdata then calculates precisely the total capital equipment budget for the construction project, to include the service cost associated with de-installing and re-installing existing assets.

    STEP 6: Procurement
    At the appropriate stage of construction (in most cases approximately seven months from building completion) MEMdata conducts detailed electronic Requests for Proposals (eRFP) on all new equipment and existing equipment de/re installation services. The resulting proposals are benchmarked against the MEMdata pricing database to ensure the most competitive pricing in the nation is achieved on each individual purchase. Installation timeline requirements are incorporated into each eRFP to ensure the selected vendors can meet the client’s timeframes for installation.     STEP 7: Installation
    The critical final phase of any construction, renovation, or expansion project is the equipment installation phase. MEMdata will coordinate closely with all awarded vendors to ensure deadlines are met, equipment installations occur in the proper order, and clinical acceptance of all equipment is obtained before your ribbon-cutting occurs.
